Details: Perform high-level administrative support for legal collections. Field all incoming correspondence to determine action. Prepare file, maintain reports, memos, letters, pleadings, submissions, and other documents, using word processing, spreadsheet, database, and/or presentation software; and status tracking tools. Essential Duties and Responsibilities include the following:Respond to requests for documents from outside parties, attorneys and discovery. Notarize and return affidavits to outside counsel and act as a primary contact to outside counsels office staff.Maintain collection file calendar and set tickler system for follow up action.Receive and make fee and cost requests from outside counsel as approved by attorney. Work with Accounting Department to maintain master list of checks requested and monitor payments made by Accounting Department. Follow up and monitor cost and fee payments made. Read and analyze incoming pleadings, notices, memos, submissions, and reports in order to determine their significance and distribute to attorneys or paralegals;Scan court related documents received by third parties maintain as instructed by counsels standard practices and collection protocol guidelines.Generate and maintain all master documents and forms as needed and requested. Master legal file listsDocument retention for collections and bankruptcy filesPrepare and file bankruptcy claims as necessary in accordance with legal department policy/procedures Prepare outgoing mail and correspondence, including, packages, e-mail and faxes.Arrange meetings, conference calls, prepare agendas, make travel arrangements for counsel, facilities, prepare expense reports, calendar court dates, deadlines and set tickler reminders for general collections/legal status meetings.Open, review, maintain and present relevant pleadings or legal correspondence to counsel for review of action, update all related court notices on the Company client systemsOccasionally transcribe electronic dictation of legal pleadings, correspondence, agreements and documents. Make copies of correspondence or other printed materials.Suggest and implement procedural changes to streamline and expedite Legal Department tasks and Legal Assistant function.Other duties and special projects as may be assigned by counsel.
